Fees, payments and refunds

Invoices, installments, optional charges, bank verification, overpayments and a fair reviewed refund process.

About this demonstration policy

Lagoon Heights Academy is a fictional demonstration school. This policy illustrates a complete school process as at 8 October 2026; it is not an approved policy of an operating school or a claim of legal certification. The sample email, telephone and address are not monitored services. Do not submit real children’s information, send money or rely on this demo for urgent help. A live school must approve its own details and procedures before using this copy.

Know the charge before committing

The school supplies an itemised approved fee schedule and the dates and services it covers. Tuition, transport, boarding, meals, clubs and activities are identified separately where charged. Optional programmes explain eligibility, capacity, permission and cancellation arrangements before registration. Ask finance to explain a charge you do not recognise. A website description or an automatic reminder is not authority to add an undisclosed charge.

Tuition plans, awards and installments

A reviewed term/class plan may divide an agreed fee into installments with stated due dates. Approved scholarships and verified-family sibling discounts are shown in the calculation; a shared telephone number does not establish a family discount. Staff can explain the reviewed calculation and any remaining balance. Changes require a recorded correction; the school does not silently rewrite an earlier invoice or confirmed receipt. An installment arrangement is not a loan or permission for an undisclosed interest or penalty.

How a payment becomes a receipt

Use the invoice reference and the school’s verified bank or hosted payment instructions. Do not pay a personal account because of an unsolicited message. For an online payment, the server independently checks the provider reference, actual amount and currency before recording it. A bank slip upload creates a pending payment notice; finance must verify the bank statement. Repeated notices do not create a second receipt. Keep your receipt and tell finance promptly if a payment remains unmatched or an amount looks wrong. Card details are entered on the provider’s payment screen, not in a school message.

Part payments, deposits and reminders

A verified partial payment reduces the balance allocated to that invoice. A family payment may be allocated across authorised children’s invoices. Extra actual funds are kept as an identifiable student deposit or applicant overpayment credit rather than treated as earned school revenue. Ask for the allocation to be checked before paying again. Reminders are based on outstanding obligations and current authorised payer contacts; tell finance if you need a reviewed payment arrangement. This sample policy does not authorise public debt shaming or disclose a family’s balance to other parents.

Cancellations and the school’s sample refund approach

For this demo policy, request cancellation in writing as soon as you know a service or programme is no longer needed. Explain the affected invoice, payment, requested effective date and reason. The sample approach is to return an actual overpayment and review amounts paid for a school-cancelled or unprovided service; any reasonable charge or retained amount needs its disclosed contractual basis and the circumstances. Work already delivered, third-party costs and a family’s notice of withdrawal are considered individually. There is no blanket claim that all school or processing fees are non-refundable. Nothing here removes an applicable consumer remedy.

Refund review and actual payment

Finance checks identity, the original collection, remaining entitlement and the account information through a verified route. A different authorised person reviews a requested refund. Approval explains the amount and reasons; the refund is not marked paid merely because staff approve it or generate a document. Actual outgoing bank confirmation is recorded separately. The sample target is to acknowledge a request within five school days and provide a decision or progress update within ten school days after sufficient information is available. An operating school must confirm its real settlement timetable and explain a delay; the demo cannot transfer money.

Application processing fees and current online limits

A required application fee must be disclosed before submission and is separate from tuition. Processing completion and admission success are different events. Excess applicant payments have a reviewed credit-refund process. A request to cancel or refund the original processing fee is considered under the school’s actual agreement, work completed and applicable rights; the current portal does not automatically perform that cancellation or issue a provider refund. Finance must handle the decision and any necessary payment/accounting correction through the appropriate authorised process. Lack of an online refund button does not extinguish a right to request review.

Disputed charges

Send finance the invoice/receipt reference and the part you dispute; avoid sending full card details. Ask for a written allocation or explanation. If it remains unresolved, use the school’s Complaints procedure and, where appropriate, the relevant consumer authority. The school should preserve the relevant history while investigating and communicate any correction clearly. Nigerian consumer information and complaint routes are available through fccpc.gov.ng.
